CHANGING EMAIL SERVER:
If you need to change the email server options within Outlook you should follow these steps, however, before starting you should make a backup (Archive) all your folders.

HOW TO BACKUP YOUR FOLDERS:
1. Select the folder you wish to back-up (if you select the top most level folder you can choose to export EVERYTHING within that folder, this will cover your inbox, calendar, deleted and sent items).
2. In the File menu on Outlook, select 'import and export', then select 'export to a file'. Click the 'Next' button and select 'Personal Folder File (.pst)'.
3. At the next screen select the folder to backup, if this folder includes subfolder make sure the 'include subfolders' check box is selected.
4. Finally select where to save the backup and what to call it and click the 'finish' button.

HOW TO CHANGE OUTLOOK TO USE THE NEW EMAIL SERVER:
1. If Outlook is open close it down.
2. Go to the 'Start' button, then 'settings', then 'Control Panel'.
3. Double click the 'Mail' icon to open up the Microsoft Exchange properties window.
4. In the 'Services' tab make sure Microsoft Exchange Server is selected and click the 'properties' button.
5. In the first text area enter the name of your new e-mail server (Ask your Administrator if you're unsure)
6. In the second text area enter your mailbox name, to confirm the settings click the 'Check Name' button. If both the Server and Mailbox name underline they are set up correctly.
7. Click Apply, then OK until you have exited the Microsoft Exchange properties windows.

HOW TO IMPORT YOUR FOLDERS:
1. Open Outlook.
2. Go to the File menu and select 'Import and Export', then select 'import from another program or file' and click the Next button.
3. Select Personal Folder File from the menu and click 'Next'.
4. At the next screen click the 'Browse' button and navigate to the file or files you exported in the 'Back Up of Folders' steps.
5. Click the 'Next' button and import your personal folders back into Outlook.
